Privacy Policy

ConvoPilot is designed to keep conversation analysis on device by default.

This policy explains what ConvoPilot processes, what it stores, and the controls users have over transcription, saved recordings, imported text, summaries, model downloads, notifications, and optional legal-region suggestions.

Raw audio

Live session audio stays in memory. Audio you explicitly record or import in History is saved locally until deleted.

Summaries

Stored on device only if the user explicitly enables summary saving.

Cloud processing

This release transcribes and analyzes conversation content on device. Optional downloads and location help make network requests.

1. What We Process

Information used by the app

  • Microphone audio during a user-started session
  • Generated transcript text and timestamps
  • Derived conversation signals such as sentiment, mood shifts, highlights, and optional coaching cues
  • User settings such as appearance, analysis preferences, legal region, and privacy preferences
  • Optional on-device session summaries if saving is enabled
  • Conversation text and PDFs you manually import, and reviews you choose to save
  • Audio you explicitly record or import in History for later on-device transcription
  • One requested location for Apple Maps reverse geocoding when you choose legal-region help
  • Connection and model-request metadata when you choose to download a local AI model

  • ConvoPilot is not a therapy or emergency service.
  • ConvoPilot does not provide legal advice.
  • ConvoPilot does not guarantee universal two-sided call capture on iPhone.
3. On-Device Processing

Default privacy posture

Transcription

This release uses on-device Apple speech technologies. Supported languages and speech assets depend on your device. Conversation audio is not sent to a transcription provider by this release.

Realtime analysis

Conversation signals, highlights, live feedback, and optional coaching cues are generated on device from transcript text. Supported analysis can use Apple Intelligence or an optional downloaded local model. These are communication estimates, not medical assessments.

Storage

Live session audio stays in memory. Session summaries and full transcripts are stored locally only if the user enables saving. Imported reviews are stored only when you choose Save to History. Audio explicitly recorded or imported in History is saved on this device until deleted. App-managed conversation storage is excluded from cloud synchronization and backup. You can delete saved items in History and downloaded models in Settings.

4. Network Requests

Optional external services

Current default Conversation transcription and analysis run on device in this release.

The cloud-transcription preference is off by default and requires an explicit warning-backed choice. This release has no active cloud transcription engine. Allowing the preference does not send conversation content to a cloud service.

A future release that adds cloud transcription will update this policy and its disclosures before that service is available.

Optional Strong Local AI downloads contact Hugging Face and its download infrastructure to obtain model files. Those services receive the selected model/file requests and connection information, including your IP address. Hugging Face's privacy policy describes retained usage, IP, device, and session-location information for service delivery, improvement, and security. Download metadata can be associated with the connection making the request. Conversation audio and transcripts are not sent with model download requests. Downloaded models analyze text on this device.

Optional legal-region help sends a requested location to Apple's Maps reverse-geocoding service to obtain an address or region suggestion. ConvoPilot does not persist your coordinates or continuously track your location. You can choose a legal region manually without granting location access. Apple speech-asset downloads and external support/model-information links may also make network requests governed by their providers' policies.

5. Permissions

Why permissions are requested

  • Microphone: for a live session or an explicit History recording.
  • Speech recognition: to transcribe speech.
  • Notifications: to show optional local analysis prompts.
  • Location: only if the user asks the app to suggest a legal region.
6. User Controls

What users can control

  • Whether optional coaching suggestions are enabled
  • Whether local notifications are allowed
  • Whether session summaries are stored on device
  • Whether a cloud-transcription preference is allowed; this release has no active cloud engine
  • Whether to record/import audio, save an imported review, or download a local AI model
  • What legal region is selected for general guidance
7. Sharing and Sale of Data

How information is handled

ConvoPilot does not sell conversation content, use it for advertising, or include advertising or cross-app tracking SDKs.

Conversation audio, transcript text, and analysis remain on device in this release. The optional services described above receive only the information needed for their requests; their privacy policies explain their own handling and retention. If you email support, the message and contact information you choose to send are used to respond. Do not send sensitive conversation content unless you intend to share it.

8. Children

Children's privacy

ConvoPilot is not directed to children. Do not use the app in a way that violates applicable laws or school, workplace, or guardian policies.

9. Changes

Policy updates

This policy may change if the app's processing model, storage behavior, or external services change. The effective date above will be updated when material changes are made.
